Tickets
Daily job tickets are the source of downstream features in Truckware, including Invoices, Payrolls, Certified Payrolls, and Broker Statements. All of these features calculate their information off of the tickets you create in Truckware.
Tickets start from Ticket Images, which your drivers will text to your Driver Cell Phone number. That process is described in this help article. The article you're reading now picks up where that one left off.

NOTICE! Your Customers, Jobs, Drivers, Trucks, and Brokers must already be created before you can create tickets for them. |

Creating New Tickets
Clicking the Images link in the nav bar will take you to the page showing all unprocessed ticket images. These are images that have been texted from your drivers to your Driver Cell Phone number, but for which you have not yet created tickets.
To create a ticket from an image, click on the Process button. Clicking this button will open a page with the image to the left (or on top, if you're on your mobile phone), and a ticket form to the right (or below the image, if you're on your mobile phone).
You should notice the green Analysis Complete indicator. This lets you know that our AI has extracted as much information as it could and pre-populated the ticket form. Fields in the form that the AI has populated are indicated by the check mark to the right of the label. In the example above, the AI found the Customer, the Job, the Ticket Number, the Date, the Regular Hours, the Truck Number, and the Driver ... pretty good.
If you're not ready to create the ticket yet, you can click the Cancel button. That will take you back to the Images page.
Otherwise, you'll double check the info populated by the AI, correct anything it got wrong and fill in anything it missed. Then you can click the Create button.
|
NOTICE! That Heads up! note at the top of the form is there to grab your attention. While our AI is smart, it is not perfect. It will get stuff wrong from time to time. It's really important that you double check all the information it pre-populated. The image is just to the left, so hopefully this is a small task, but important nonetheless. |
Many of the fields in the form have obvious definitions, but here we will detail the ones that may not be quite-so. Like with all other forms, fields with an asterisk* are required in order to save the ticket into the app.
| Field Name | Description |
| Ticket Number |
Ok, yes this one is fairly obvious. However, if your ticket does not actually have a number, you can use the Get a number button to generate a random ticket number since it's a required field. |
| Phase Codes |
These may have various meanings depending on the job and the customer. Essentially, these are any notes or special codes, typically included in the Description of Work section of the ticket image. The AI will try to extract them, and this field can be filled with any list of text data (e.g. dirt, gravel, P-40303). They will appear on the Invoice under the ticket's other details. |
| Date |
This is the date of the work performed. This date will determine which tickets show up when you want to create Invoices, Payrolls, Certified Payrolls, or Broker statements. |
| Driver/Broker Hours |
These are the hours that will be included in Payrolls, Certified Payrolls, and Broker Statements. |
| Customer Hours |
These are the hours that will be included in customer Invoices. |
| Broker and Brokered Truck Number |
If Was a brokered truck used? is yes, you'll need to choose the Broker. Optionally, you can provide a truck number. |
| Trainee |
If Is this driver training? is yes, you'll need to choose the Driver who is the trainee. |
Viewing and Editing Tickets
Tickets that you have created are accessible from a few pages in Truckware, but the most common way you'll find tickets is from the Jobs page. Clicking the Jobs link in the nav bar will take you to a list of all jobs across all customers. Under the Actions header, clicking the 3 dots on a job will allow you to View Tickets created for that job.
Choosing the View Tickets option will take you to a page that lists all the tickets for that job. From here, you can see and do a number of things.
|
NOTICE! A ticket can be on only one Invoice, Payroll, Certified Payroll (if applicable), and Broker Statement (if applicable). |

Clicking the 3 dots on a ticket's row will allow you to edit that ticket. The form will be the same as creating a new ticket from an image. |
